Event Manager & Venue Hire

Mudam Luxembourg – Musée d’Art Moderne Grand-Duc Jean – is seeking an Event Manager & Venue Hire to join its Développement des ressources department.
Designed by the internationally renowned architect I. M. Pei and opened in 2006, Mudam Luxembourg offers a demanding and inspiring working environment at the heart of an institution fully dedicated to contemporary art and culture.
As part of the strengthening of its own-source revenues and the structuring of its event offer, Mudam is recruiting an Event Manager & Venue Hire.
Your mission
Reporting to the Head of the Développement des ressources department, the Event Manager & Venue Hire is responsible for developing the museum’s venue hire strategy and overseeing the production of its event activities. The role ensures a careful balance between commercial development (revenue generation) and institutional visibility (exhibition openings, partner events), while guaranteeing full alignment with Mudam’s artistic identity.
Key responsibilities
Commercial development and venue hire strategy
- Offer development: Define and commercialise a competitive event offer for corporate clients (cocktails, dinners, seminars, product launches), showcasing the museum’s architecture and collections.
- Prospecting & relationship management: Act as the main point of contact for corporate clients and sponsors; actively identify new revenue opportunities and build long-term client relationships.
- Negotiation & contracting: Develop tailor-made proposals, conduct commercial negotiations, draft venue hire contracts and oversee invoicing.
- Offer marketing: Contribute to the promotion of event spaces (brochures, website, LinkedIn) and identify synergies with other departments (ticketing, shop, guided tours) to maximise revenues.
Event production and operational excellence
- End-to-end event management: Coordinate the full logistical organisation of corporate and institutional events, including timelines, visitor flows, and setup/dismantling operations.
- Supplier management: Select, brief, and supervise external service providers (catering, technical services, cleaning, security), ensuring the museum’s standards of excellence are met.
- Security & conservation: Ensure strict compliance with safety regulations (public-access buildings), security protocols and preventive conservation requirements, in close collaboration with technical and security teams.
Institutional visibility and exhibition openings
- Key event coordination: Oversee the logistical organisation of exhibition openings and inaugurations (speeches, protocols, temporary installations).
- Public relations: Manage guest lists (VIPs, institutional representatives, partners), supervise invitation processes and ensure a high-level welcome during events.
- Cercle des collectionneurs support: Depending on the activity calendar, provide logistical support for exclusive events organised for the Cercle des collectionneurs.
Performance management
- Monitor key performance indicators (occupancy rate, revenue, profitability per event, client satisfaction) and produce regular reports for management.
Your profile
Education and experience
- Higher education degree (Master’s level or equivalent) in Event Management, Business, Communication or Cultural Management.
- At least 4–5 years of confirmed experience in the organisation of high-end events, ideally within a museum, cultural institution or luxury hospitality environment.
Technical skills and personal qualities
- Event expertise: Strong command of the full event logistics chain and a solid understanding of the constraints of operating in an active museum or heritage site.
- Commercial acumen & diplomacy: Excellent interpersonal skills for engaging with senior-level stakeholders (C-suite, sponsors, public officials) and strong negotiation abilities.
- Results-driven mindset: Solution-oriented, well-organised, able to manage pressure and priorities in a demanding environment.
- Artistic sensitivity: A strong interest in contemporary art and an understanding of the challenges related to museum programming.
Tools and languages
- Full professional proficiency in French and English (minimum C1). Knowledge of Luxembourgish or German is an asset.
- Proficiency in Microsoft Office (Excel, PowerPoint); experience with event management software or CRM tools is an advantage.
Availability
- High level of availability required during evenings and weekends (exhibition openings, client events).
